The Brenda Strafford Foundation (BSF) is a charitable organization that currently owns and operates five Aging Care & Senior Living communities in Calgary, AB, and Okotoks, AB. We take pride in providing a safe, caring, and comfortable home environment that caters to the complex needs of our senior residents and families. Locally, in Calgary, BSF also operates Alberta’s largest second-stage shelter providing safe shelter and comprehensive support services to women and children leaving abuse and violence.

The Role:

The Technical Administrative Assistant will be part of the administrative team, supporting all other teams to improve effectiveness and efficiency throughout the organization.

  • Actively contributes to the standard for professional behaviour and work habits that support a positive work environment. Provides a full spectrum of administrative support to all teams at the Centre
  • Collaborates continuously with the administrative team to support the continued growth and development of internal processes contributing to organizational outcomes
  • Maintain and update systems to address ever-changing nature of work environment and complex business needs. Ensure all systems and business processes are working smoothly and efficiently
  • Contribute to overall data management including the creation, implementation, and safe storage of electronic data
  • Works closely with the Leadership team and stakeholders to ensure the integrity of data across all platforms, minimizing duplication of effort while optimizing procedures for data collection and retrieval
  • Research new and innovative technology solutions to reduce costs and improve efficiency and effectiveness of internal procedures
  • Trains and assists all staff in adopting new or updated technologies, processes, and procedures as necessary. Create and distribute documentation for all established solutions
  • Supports other members of the administrative team in completing tasks when deadlines cannot be met by individuals, and cross-trains on business functions across the Centre to cover team member absences
  • Provide technical back end and end-user support on all systems and software, including managing user access, IT onboarding, asset management, troubleshooting and system creation
  • Writes, edits, and maintains correspondence and documents ensuring there are no typos, errors, or content issues

Who We're Looking For:

Qualifications & Requirements:

  • Post-secondary diploma or degree in Business Administration, Information Technology or a related field, relevant experience will be considered in place of educational requirements
  • Minimum of two (2) years of relevant experience in a high-level administrative role
  • Strong knowledge and experience working with leadership members, and stakeholders
  • Excellent interpersonal, communication, and critical thinking skills
  • Extensive experience with preparing complex spreadsheets and documents
  • Advanced knowledge of office procedures and practices
  • Advanced proficiency with Microsoft Office Suite and Office 365 environment including expertise in SharePoint; certification in 2019 Microsoft Word Expert and Excel Expert would be an asset
  • Working knowledge of Microsoft Power Apps
  • Experience with Monday.com, or additional project management software
  • Superior comprehension and strong writing skills

  • High-level of adaptability to changing priorities, workload, schedules, and procedures
  • Consistently provides creative and innovative recommendations
  • Comfortable working effectively across multiple departments with senior leadership members, frontline staff, and participants
